Newington Carpet Cleaners Terms and Conditions
These Newington Carpet Cleaners Terms and Conditions set out the basis on which carpet cleaning, upholstery cleaning, and related domestic and commercial cleaning services are provided. By making a booking, confirming an appointment, or allowing our operatives to begin work, the customer agrees to be bound by these terms. If any part of these terms is unclear, the customer should review them carefully before the service begins. These terms are intended to create a fair and transparent agreement between the customer and the service provider.
For the purposes of these conditions, references to “we”, “us”, and “our” mean Newington Carpet Cleaners, and references to “you” and “your” mean the person, business, landlord, tenant, or other legal entity requesting the service. These terms apply to all carpet cleaning appointments unless a separate written contract expressly states otherwise. Where a specific service includes special requirements, those requirements may be confirmed in writing before the job starts.
The customer is responsible for ensuring that the service requested is suitable for the property, the materials, and the condition of the items to be cleaned. Any quote or estimate provided before the visit is based on the information supplied at the time of booking. If the actual circumstances differ significantly on arrival, we may revise the price, scope, method, or timing of the work. By proceeding with the booking, you acknowledge that cleaning results can vary depending on fabric type, age, wear, staining, and prior treatment.
These carpet cleaning terms are designed to reflect standard UK service practices and consumer expectations. They do not affect any rights that cannot lawfully be excluded under applicable law. Nothing in these terms seeks to limit liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded by law. If any provision is found to be unenforceable, the remaining provisions shall continue in full force.
Booking process
All bookings are subject to availability and acceptance by us. A booking request may be made by telephone, email, online form, or any other method we make available from time to time. A booking is not confirmed until we have acknowledged it and, where required, received any deposit or advance payment. We reserve the right to decline a booking where access is unsafe, the request is outside the scope of our services, or the property conditions make the work impractical.
When arranging a Newington carpet cleaning appointment, you must provide accurate information about the property, the items to be cleaned, parking or access restrictions, pet presence, water supply, electrical supply, and any staining or damage already present. If you fail to provide important information and this affects our ability to complete the work, we may charge for wasted attendance, additional labour, or a revised visit. Appointment times are provided as estimated arrival windows unless a fixed time has been agreed in writing.
Payment terms
Payment is due in accordance with the price confirmed at booking or as amended on-site where the service differs from the original description. We may request full payment in advance, a deposit, or payment on completion, depending on the nature of the work. Unless otherwise stated, all prices are quoted in pounds sterling and may be subject to VAT where applicable. Any extra services, such as stain treatment, deodorising, moving heavy furniture, or specialist fabric care, may incur additional charges.
Where payment is due on completion, it must be made immediately once the service is finished unless we agree otherwise in writing. We accept the payment methods we specify at the time of booking, and we may refuse cheque payments or delayed settlement at our discretion. If payment is not made by the due date, we reserve the right to charge reasonable recovery costs, administrative fees, and statutory interest where permitted by law. Title to any materials supplied by us remains with us until payment is received in full.
If a quotation is based on incorrect or incomplete information, we may adjust the final price to reflect the actual work required. This includes, without limitation, severe soiling, unexpected contamination, inaccessible areas, additional rooms, excess furniture moving, or special treatment for delicate fibres. A carpet cleaners terms price estimate is not a fixed-price promise unless we expressly state that it is fixed in writing.
Cancellations and rescheduling
You may cancel or reschedule a booking, but you should give us reasonable notice. Unless a different cancellation policy has been stated in writing, cancellations made with less than 24 hours’ notice may attract a cancellation charge to cover reserved time, travel planning, and administrative costs. If a deposit has been paid, it may be retained in whole or part where the cancellation causes loss or where we have already allocated significant resources to your booking.
If you are not present at the agreed time, fail to grant access, or the property is not ready for the work to start, we may treat this as a late cancellation or wasted attendance. In such cases, a fee may be charged. If we need to cancel or reschedule due to staff illness, equipment failure, severe weather, access issues, or events beyond our control, we will use reasonable efforts to notify you as soon as practicable and offer an alternative appointment. We shall not be liable for losses caused by unavoidable changes to the schedule.
Where an appointment must be delayed because cleaning conditions are not as described, the customer agrees to work with us to identify a suitable alternative time. If the delay arises from issues such as blocked access, unsafe flooring, lack of electricity, or the need to wait for another contractor to finish, we may charge for time lost or a return visit. Any cancellation rights under consumer law remain unaffected where they cannot be excluded by contract.
Service standards and customer obligations
We will perform the cleaning with reasonable care and skill using methods we consider appropriate for the materials and the level of soiling. However, cleaning outcomes depend on the condition and age of the carpet or fabric, prior wear, previous cleaning attempts, fibre composition, and the nature of the stains present. Some marks, odours, or discolouration may be permanent or may reappear after drying. We do not guarantee complete removal of all stains or the restoration of items to a “like new” condition.
You must remove or secure fragile items, valuables, and loose objects before the appointment, unless we have agreed in advance to assist with moving selected furniture. Where we move furniture, this is done at your risk except where loss or damage is caused by our negligence. You must also disclose any known pre-existing damage, weakened seams, loose tiles, unsecured flooring, water-sensitive materials, or hidden hazards. Failure to disclose relevant information may limit our ability to complete the work safely and may affect liability.
We may refuse to clean certain items where we believe the material is unsuitable, the risk of damage is too high, or the instructions given by the manufacturer conflict with the requested treatment. A Newington Carpet Cleaners service agreement may include specific exclusions for delicate, antique, or high-value items. If we advise against a method or product, and you request it anyway, we may ask you to confirm that instruction in writing and accept the associated risk.
Liability and limitation
We shall exercise reasonable care and skill in providing the services, but our liability is limited to the extent permitted by law. We are not responsible for loss or damage arising from pre-existing faults, concealed defects, unsuitable materials, poor installation, normal wear and tear, shrinkage inherent in the fabric, colour loss due to age, or adverse reactions to previous treatments. In particular, some carpets and fabrics may react unpredictably to moisture, detergents, agitation, or stain removal chemicals.
Nothing in these terms excludes liability for death or personal injury caused by our negligence, fraud, or fraudulent misrepresentation. Subject to that, our total liability for direct loss arising from any one booking shall be limited to the amount paid or payable for the relevant service, except where a different limit is required by law. We shall not be liable for indirect, consequential, special, or economic losses such as loss of profits, business interruption, loss of opportunity, or loss of goodwill.
Where a claim relates to damage allegedly caused by our work, you must notify us within a reasonable time and allow us the opportunity to inspect the item before any repair, replacement, or cleaning by a third party takes place. Failure to do so may reduce or extinguish any remedy that might otherwise have been available. We may choose, at our discretion, to repair, re-clean, compensate, or offer another reasonable resolution. Any acknowledgement of a concern does not amount to an admission of liability.
Waste regulations and environmental compliance
We are committed to handling waste and wastewater in a lawful and responsible manner. In carrying out carpet and upholstery cleaning, we may generate wastewater, sludge, removed debris, packaging, and other waste materials. We will dispose of or manage such waste in accordance with applicable UK waste regulations, environmental duties, and local disposal requirements. We may use suitable containment methods where necessary to reduce the risk of contamination and to ensure safe handling.
You must tell us in advance if the premises contain hazardous substances, bodily fluids, mould, asbestos, or any contamination that may require specialist handling or a licensed contractor. We do not normally provide biohazard or hazardous waste removal unless specifically agreed in writing and lawfully permitted. If we reasonably believe the waste created during cleaning is hazardous or unlawful to manage without specialist measures, we may stop work immediately and charge for time, travel, and any costs already incurred.
Any waste that remains the property of the customer, or that must be removed by the customer under law, must be handled promptly and safely after the service. We are entitled to refuse to proceed where disposal requirements would be unlawful, unsafe, or disproportionate. You agree not to ask us to dispose of materials in a way that breaches environmental rules, licensing obligations, or public health requirements. We may retain records of waste handling where needed for compliance, audit, or insurance purposes.
Insurance, damage claims, and access
We maintain insurance cover that we consider appropriate for the nature of our services, but insurance does not automatically mean every loss is recoverable. Claims must be based on evidence and must relate to our proven negligence or breach of contract. We may request photographs, receipts, purchase records, fabric care instructions, and other information to assess any complaint or claim. If we ask you to isolate, ventilate, or dry an area after cleaning, you should follow those instructions to reduce the risk of damage.
You are responsible for providing safe access to the premises, including any codes, keys, parking arrangements, and relevant permissions. If we are unable to access the property at the agreed time, or if access is delayed due to third-party arrangements, this may result in waiting charges or a rescheduled visit. We are not liable for delays caused by building management, neighbours, contractors, traffic disruption, or circumstances outside our reasonable control.
Force majeure
We are not in breach of these terms where our performance is delayed or prevented by events beyond our reasonable control, including extreme weather, fire, flood, power outage, industrial action, epidemic restrictions, equipment unavailability, or acts of public authority. In such cases we may suspend the service, rearrange the booking, or cancel it with notice. If payment has been made in advance for work not yet carried out, we will address any refund or rebooking in a fair and reasonable manner.
Complaints
If you are dissatisfied with any aspect of the service, you should notify us as soon as reasonably possible and provide details of the issue. We may ask you not to use the affected item further until we have assessed the matter. This helps preserve evidence and allows us to consider the most appropriate remedy. Any complaint will be handled in a proportionate and reasonable way, and you agree to give us a fair opportunity to inspect, correct, or revisit the issue where appropriate.
Data, records, and privacy
We may retain booking details, service notes, photographs, and correspondence for operational, legal, insurance, and accounting purposes. Such data will be handled in accordance with applicable data protection law. We will only use personal information to manage bookings, deliver services, respond to queries, meet legal obligations, and protect legitimate business interests. We do not require a customer to provide unnecessary information for the purpose of these terms.
Variation of terms
We may update or amend these terms from time to time. The version in force at the time of booking generally applies to that appointment, unless a change is required by law or agreed in writing. Any special terms agreed for a particular job will take priority over these general conditions to the extent of any conflict. If any wording is inconsistent with mandatory consumer rights, the mandatory rights shall prevail.
Governing law and jurisdiction
These Newington Carpet Cleaners service terms are governed by the laws of England and Wales. Any dispute or claim arising out of or in connection with these terms, the booking, or the services provided shall be subject to the jurisdiction of the courts of England and Wales, unless consumer law requires otherwise. If you are a consumer, nothing in this clause removes any protection or right available to you under applicable UK legislation.
This agreement represents the entire understanding between us and the customer in relation to the relevant booking, except where a separate written contract or mandatory law applies. No statement made verbally or in promotional material shall alter these terms unless confirmed in writing by an authorised representative. By proceeding with a booking, you confirm that you have read, understood, and accepted these carpet cleaning service terms.
We aim to provide a professional and reliable service while keeping the agreement practical, balanced, and transparent. These terms are intended to protect both parties by clearly setting out expectations around booking, payment, cancellations, liability, waste handling, and legal responsibility. If a service is arranged under these conditions, each party agrees to act reasonably and in good faith throughout the booking and the performance of the work.
